Policies & Procedures

 

Mission Statement

Club Idaho Northwest (CINW) is a registered junior program affiliate of USA Volleyball.  We exist to promote and develop youth volleyball in the North Idaho area.  Our mission is to provide quality training and competitive opportunities for young female volleyball athletes at all levels of competition while fostering a love of the game.

 

Board of Directors

Director:  Renee Meredith

            Duties include: Player Registration, Coach Supervisor, and Uniform Coordinator 

Assistant Director:  Kris Hunt

            Duties include: Scheduling, Equipment, Tournament, and Team Coordinator 

 

Involvement in the Board of Directors is a volunteer position.  Regular meetings shall be held by the Board of Directors at a mutually agreed upon time and place.  All issues shall be decided by the Board, and their decisions are final.

 

Parent Chaperones

Parent Chaperones are required by USAV Evergreen Region to act as an interface between the coaches, parents, and team members.  The chaperones are to handle or delegate the administrative details of the team in their age bracket.  They are responsible to assist the coach as needed with team supervision during practices and especially during tournaments.  This is a volunteer position.  All chaperones must complete the USAV registration process and pass the background check every two years as mandated by USAV.  The chaperones will work closely with the Board in managing their respective teams.

 

Club Dues

Club dues are based on a team of 10 girls and one coach.  The following dues are for a non-traveling team.  Teams that travel will be required to pay their own travel costs in addition to their club dues.  Prices are subject to change.

Coaches Fees

The Board will determine coaches’ fees.  These fees are to be paid by players monthly directly to the coach.  Failure to pay coaches fees in a timely manner may result in decreased playing time and/or dismissal from the club with NO REFUND.

 

Tryouts

Tryouts will be held the 1st week of November (after school volleyball is complete) and will be separated by age groups.  The coaching staff will conduct the tryouts.  There will be a $10 fee collected for insurance by the region and gym rental fees.  A waiver must be signed by a parent or guardian granting permission for a player to participate in tryouts.  No player will be allowed to tryout without the waiver and payment of fees.  There are no exceptions.

 

 

Financial and Collection Policies

All fees/deposits are nonrefundable unless stated otherwise.  The first payment of club fees is due at the team/parent meeting in early December following the announcement of the teams.  The remaining fees are due on or before January 1st and should be sent directly to CINW, 8646 Rude St., Hayden, ID  83835.  Failure to make payment will result in suspension of practice/playing time until payment is made.  Should this occur, the player is still required to attend each and every practice.  Should payment be withheld after January 15th, the player will then be cut from the team.  A player who previously played for CINW and failed to pay their dues or travel money will not be permitted to tryout or play for CINW without paying their past due fees.  There will be no exception.

 

All coach’s fees will be paid directly to the coach or team chaperone, if the coach has requested this.  Coach’s fees are due by the 1st of each month.  If payment is not made by this date, the player will not be allowed to practice or play in tournaments until said fees are paid.  If payment is not made within 10 days, the player will be cut from the team.

 

Insurance

CINW provides some insurance protection through USAV Evergreen Region on an excess coverage basis for all members participating in scheduled, supervised approved activities of CINW such as practice sessions and tournaments.  Travel with a supervised group of team members directly to and from these activities is also covered.  When an injury has occurred during one of these activities, parents must file a claim with their family insurance carrier.  USAV insurance covers some of those medical expenses associated with a qualified injury not covered because of a deductible clause in the family policy.  This insurance coverage will not take the place of your regular family insurance coverage.

 

Movement of Players

Once a player is placed on a team, the player cannot move to another team or club without the following actions – IN THIS ORDER

  1. Player’s coach must be advised and agree.
  2. Transfer must be presented to the Board of Directors for approval.
  3. Parents must be advised and agree.
  4. Parents must sign a form acknowledging the transfer and the difference in dues/travel fees will be due 10 days later.
  5. Player must be advised and agree.

If for any reason, a player should leave the team and CINW and then, during the same season, want to come back to CINW/team, the player will NOT be allowed to do so.  There are NO exceptions.

 

Equipment

Equipment provided for each team:  Uniform shirt, balls, game ball, ball bags, ball carts, and med-kit.  Players must provide their socks, black spandex shorts, court shoes, kneepads, and any other necessary equipment. 

All equipment will be assigned at the beginning of the season to each team.  All equipment should be the responsibility of the players and coaches of each team.  Players will be charged for lost or damaged equipment.  All equipment and uniforms must be returned to CINW by May 15th.  The only exception is a traveling team that has tournament play continuing into June or July.
